Position: Administative Assistant
Location: Arlington, NH
Status: 20 hours
Reports to: Vice President and Consulting Practice Lead
Purpose: The Administrative Assistant will be responsible for administrative support to all DMT projects and office operations.
The successful candidate will be responsible for key administrative tasks including telephone customer service and referral, meeting and greeting visitors, managing and improving supply inventory systems, routinely reordering supplies, updating mail/phone database, ensuring proper maintenance of office equipment (minor maintenance and referral to skill technicians for more complicated activities), maintaining facility cleanliness, scheduling appointments and travel. In addition, the Administrative Assistant will assist the DMT-DC team with specific projects as directed by the practice lead or program director.
Essential Accountabilities:

Phone. Manage answering phone calls and routing them to the appropriate recipients, taking and delivering phone messages. Turn phone answering system off/on each day.
- Supplies. Manage re-ordering cycle to maintain an up-to-date inventory of DMT office supplies as requested.
- Shipping/Receiving. Execute any shipping and receiving as requested by office personnel.
- Data Management. Assist in both maintaining existing databases.
- Administrative Support. Lend support and assistance to DMT-DC projects and internal operations as requested, including but not limited to: vendor research, coordinating with the corporate staff in New Hampshire for updating the intranet, internet, and knowledge repository. Coordinate with the IT department. Facilitate the management of time reporting, expense reimbursement, purchase order processing, and travel arrangements.
- Office Upkeep. Maintain facility cleanliness and security, including the kitchen area and equipment room.
- Brand Image. Proactively re inforces DMT’s corporate values and image on an on-going basis. Ensures that all products and services are packaged and disseminated in accordance with DMT’s image requirements.
Minimum Qualifications and Profile:
Education:
- Associates degree desired but not essential.
Experience:
- Must have 2 years of relevant experience in providing administrative support.
- Experience as an administrative assistant desired.
- Marketing and communications experience desired.
- Customer service desired
- Knowledge / Skills:
- Highly organized.
- Ability to work independently and with a team.
- Computer skills and proficiency with MS Word, Excel, and PowerPoint is required.
- Excellent oral and written communication skills desired.
- Graphic design skills desirable.
